Practical guide / Second-Hand Sales Workbook 1.0

Know what a sale actually leaves after its costs.

Track unique objects, listings across channels, actual sales and partial refunds. Review contribution using the amounts you really paid, and see when other listings still need closing.

Your first useful result: Start with one connected record. Follow the first task

Give the object an ID

Enter one actual item and its acquisition cost in Items. Use that same ID in every channel listing.

Linked records and input checks use the same stable IDs; review the labelled calculated cells.

Review: Keep the source record and the review together.

Record the completed sale

Enter actual gross payment, shipping collected, fees and shipping paid in Sales. Close other listings manually.

Follow returns separately

Returns links to Sale ID. Record money refunded, fee credit and extra return postage separately from whether the object came back.

Check the assumptions.

  • Save a working copy first. Manual entry; no automatic sync or external connections.
  • Fixed supplied capacities: extend formulas, tables and validations before adding more rows.
  • Use one currency; currency labels do not convert money. No accounting or professional advice.
  • Resolve input warnings before using summaries. Blank means unknown; enter 0 for a known zero.
  • One unique object can have several listings but only one sale. Split lots before recording individual sales.
  • Platform fees and actual postage are entered by you. No marketplace sync, tax return, live fee lookup or inventory valuation.
  • A partial refund does not put an item back in stock; enter the physical return separately.

Keep a copy you can return to.

Keep the supplied clean and example files unchanged. Save your own working file with a useful name, such as second-hand-sales-2027-home.xlsx, and keep a dated backup before a large edit. A purchased ZIP is the blank source, not a backup of your entries.

If an input or formula is replaced

Undo the edit while it is still available, or return to a known good backup. If you need a fresh clean file, transfer only your records into its marked input cells and follow the setup guide again. Do not paste whole sheets over the supplied formulas, validations or reference lists. Check IDs, units, dates and linked results against the example before relying on the copy.

When the supplied rows are full

300 items · 600 listings · 300 sales · 300 returns. Calculation ranges and validations have fixed capacities. A new row below a table does not prove that every linked result includes it.

For a separate period, project or volume, preserve the old workbook and start a named clean copy. If records must carry forward, record exactly which inputs you transfer, preserve their references and compare the opening and closing figures. Avoid copying historical activity as both an opening amount and a new movement. There is no automatic migration between files.

Inspect the workbook before you choose.
