The everyday problem
What is committed, still due and shared between us?
One person books the stay, another pays for dinner, and the packing list sits elsewhere. A trip total does not tell you what is still due or who should settle with whom. Keep bookings, other costs, people, local times and packing in distinct records with a shared review date.

Follow the supplied fictional exampleRead the inputs and the result together
From the supplied fictional example
Fictional example from the included workbook
The hotel commitment of 600 plus non-booking expenses of 92 and 208 totals 900 against a 1,200 budget, leaving 300. The deposit plus other costs actually paid totals 450: 150 each for three people. Jo has paid 150, Sam 92 and Lee 208, so Sam pays in 58 and Lee receives 58. The hotel still has 450 outstanding. The rate is a fictional manual input, not a current exchange rate. Settlement concerns paid shared cash; it does not split unpaid future commitments.
- Trip budget
- EUR 1,200
- Hotel full cost / deposit
- EUR 600 / 150
- USD expense × entered rate
- 100 × 0.92 = EUR 92
- Other EUR expense
- EUR 208
- People
- Jo, Sam and Lee
- Committed plus expenses
- EUR 900
- Budget remaining
- EUR 300
- Shared cash paid / equal share
- EUR 450 / 150 each
- Jo / Sam / Lee settlement

Your next stepKeep identifiers consistent across costs and packing.
- 02
Record commitments and payments once
You enterBookings holds the full cost and rate. Payments holds each payment or refund with its own payer/date. Expenses holds costs outside bookings.
CalculatedBooking totals join the ledger by exact ID. Future ledger entries stay planned. Net paid and outstanding balances remain distinct from full commitments.
Your next stepPay a deposit now and a balance later, with different people, without overwriting earlier payments.
- 03
Read the shared-cost balance
You enterMark each non-booking expense Shared Yes or No. Add a Group ID for its participants; blank means everyone.
CalculatedShared paid cash is split equally; paid amount minus equal share gives each balance.
Your next stepPositive means receive back; negative means pay in. Agree settlement outside the file.

You enterEnter each item’s local date, start/end times and zone label in Itinerary. Split overnight items at midnight; each row covers one day. Add packing items, person IDs and bag notes in Packing.

Questions about this workbook
The details that affect your choice.
Are currency rates live?
No. Enter base-currency-per-original-unit rates yourself. A cost of 100 at a rate of 0.92 becomes 92 in base currency.
Can a booking be personal?
Bookings are shared in this version. Expenses has a Shared choice for personal non-booking costs. Use separate trip copies if that model does not fit.
Does everyone split every cost equally?
Choose a Group ID for a booking or shared expense. It splits equally between that group's members; blank means everyone. Up to 20 groups, each containing up to 12 unique person IDs. Weighted shares are not supplied.
How do I record a deposit, balance and refund?
Add separate Payments rows with the same Booking ID, their own date, Person ID and positive amount. Choose Payment or Refund. The booking shows the net paid and outstanding balance. Never duplicate the full booking or enter its payment again in Expenses.
Does the itinerary convert time zones?
No. It detects overlap only between records with the same date and zone label. Enter local start/end times and split overnight activities at midnight.
