For a family celebration, dinner or gathering

Event Organizer Kit

Plan the guests, the tables and every payment before the day.

Keep estimates and commitments separate, log supplier payments by cost item and review what is due over the next eight weeks. Record guest groups, adults, children and dietary requirements; assign them to tables and check confirmed seats against capacity. A dated checklist tracks the preparation still to do.

The everyday problem

What is still unpaid, unconfirmed or left to prepare?

The venue has a deposit, the caterer needs a final headcount and one family's reply changes the table plan. These are different questions, so they need different records. This kit connects the budget, payment ledger, guest groups, seating and checklist without treating a deposit as the full bill or a guest group as one person.

    From the supplied fictional example

Fictional example: the buffet balance and a table of seven

The two payment rows add to USD 500.00, so the USD 1,500.00 buffet commitment still has USD 1,000.00 unpaid. Keeping those entries in a ledger preserves each payment rather than replacing one total. The Morgan family contributes four confirmed people and the Patel family contributes three: seven seats at a table with capacity eight. Changing a payment, reply or table capacity updates the corresponding view. These are recalculated values from the included fictional family-celebration example.

Separate the estimate from the commitment

      You enter

Set a total budget and contingency. Add a Cost ID, supplier, planned amount, committed amount and due date to each budget line.

      Calculated

The workbook compares planned and committed costs and reserves your chosen contingency.

      Your next step

Know how much of the budget is already spoken for before paying anything.

    2. 02

Record deposits and later payments separately

      You enter

Log each payment with its date, Cost ID, amount and reference in Payments.

      Calculated

Payments dated on or before the review date are added to the matching budget line. Future payments remain planned. Unpaid and overpaid amounts are checked, and the payment calendar reviews outstanding due amounts across eight weeks.

      Your next step

See the remaining supplier balance after a deposit and the bills to review next.

    3. 03

Count people and review the seating

      You enter

Add guest groups with RSVP status, adults, children, a declared dietary count and notes, and one table assignment for the whole group. Enter each table's capacity.

      Calculated

The workbook counts confirmed people and compares confirmed seating with the capacity of each table.

      Your next step

Check the headcount and table space from the same guest records.

    4. 04

Finish the preparation in a dated checklist

      You enter

Assign preparation tasks, deadlines and statuses. Set the review date before checking the dashboard.

      Calculated

The checklist marks overdue work; the dashboard brings guest, budget, payment and preparation summaries together.

      Your next step

Use the review to contact the right person and make the remaining decisions yourself.

    Before you choose

    Fit and practical limits.

    • A family organising an anniversary, birthday or other seated celebration.
    • A host planning a dinner with guest groups, table capacity and dietary requirements.
    • A small community gathering with supplier commitments and a manually managed guest list.

    Understand the boundaries.

    • No ticketing, invitations, RSVP collection, payment collection or bank connection.
    • One event and one currency per workbook. Amounts and payments are entered manually.
    • The payment calendar reviews eight weeks; it does not pay bills or send reminders.
    • Table assignments are manual. Capacity checks do not design a floor plan or arrange individual seats.
    • Dietary information is a declared planning record, not an assurance that a menu is safe or suitable.
    • Resolve every input warning before relying on calculated views.

    Questions about this workbook

The details that affect your choice.

Can I record several payments against one supplier cost?

Yes. Log each payment as a separate row in Payments and use the same Cost ID. The budget line adds payments dated on or before the review date and calculates the remaining balance. A later-dated payment stays planned until that date. The ledger records your entries; it does not take money or connect to a bank.

Does the available budget subtract payments or commitments?

Commitments. Paying a deposit does not make the remaining bill disappear. The available amount reserves your contingency and subtracts the committed costs, while the unpaid view shows what is still to be paid.

    Do guest counts include children?

Guest records distinguish adults and children. Confirmed headcounts use the people in confirmed groups rather than the number of guest rows. You also enter the number of people with a dietary requirement; that count cannot exceed the group size. Confirmed dietary totals use confirmed groups only. Keep the actual requirements in the notes and review them with your caterer.

Will it choose who sits next to whom?

No. You assign a whole guest group to one Table ID; the workbook checks the confirmed adults and children against that table's capacity. It does not split a group between tables, allocate individual seats or create a floor plan.

Can it send invitations or chase RSVPs?

No. RSVP entries are updated manually. The kit does not send email, collect registrations, sell tickets or contact guests.

Is dietary information a catering plan?

No. It is a record to help the host review the requirements guests have declared. Confirm ingredients, allergies, serving arrangements and suitability directly with the people responsible for the food.
